The Employee Events lead is a project manager for various activities such as internal engagement events, team outings, team/company offsites and leadership townhalls. The incumbent is responsible for the creation and execution of internal employee engagement and human resource communications campaigns as well collaborating with marketing and employees throughout the organisation to drive employee awareness and engagement by creating initiatives that promote a sense of connectedness and create opportunities of recreation for employees.
The scope of this role is to handle events across Gojek offices in India (currently, the offices are in Bangalore & Gurgaon). Occasionally, you'll need to travel to venues and other suppliers or vendors. You may need to work outside to plan and deliver the event, e.g. an outdoor event. Depending on the kind of event you're working on, you may need to spend time away from home. You'll generally work normal office hours, but may need to work extra hours on the day of events, including evenings closer to the event.
Own and manage the annual engagements at Gojek including budgeting and payments processingProduce detailed proposals for events (including timelines, venues, suppliers, legal obligations, staffing and budgets), to be shared with the senior management and stakeholdersResearch, manage and coordinate with venues, suppliers and contractors, and strike best possible deals and pricing (in coordination with procurement team)Own the responsibility for all event logistics including but not limited to catering and food menu, entertainment performances, employee and leadership travel, facilities for car parking, security, first aid and hospitality; ensure that legal, health and safety obligations are followedLiaise with internal communication team to promote and propagate the event, and manage the pre-event planningOversee the dismantling and closure of the event and clear the venue efficientlyProduce post-event evaluation and take appropriate measures for upcoming events. Establish and maintain measurement standards to provide meaningful information that will guide continual improvement and further increase employee engagement, satisfaction and retention. Research ideas for new engagement events to deliver experience, and consult stakeholders for sameManage town halls & logistics for leadership (including co-ordinatiion with their EA’s)
